What actually moves the price
The levers below are in rough order of how much they change the total. Most quote-to-quote differences come from the first two.
Rent is the smallest number
Hall rent plus catering plus decor plus DJ is the real total, and catering alone will usually exceed the rent. A hall that looks ₹20,000 cheaper is not cheaper if it insists on its own caterer at ₹200 more a plate.
Session, not day
Most halls sell a five- or six-hour session. If a morning function is booked in the same room, your setup window is whatever is left after they clear — which is what decides whether a full stage and mandap is even possible.
Guest count against seated capacity
Seated capacity, not floor area, is the number to plan against, and halls quote optimistically. A hall listed for 300 is comfortable at about 250 once the buffet and the stage are in.
Outside caterer and decorator
Halls allow both more often than palaces do, which is a real saving — but many charge a royalty of ₹50–₹150 a plate, or a flat decorator entry fee. Ask for both numbers, not just the permission.
Season and day of week
November to February evenings, especially Saturdays and muhurat dates, run 25–40% above the same hall in summer. Day functions are routinely half the evening rate for the identical room.
Power backup and the music cut-off
Confirm generator capacity covers the DJ and not just the lights, and get the music cut-off in writing — most halls stop between 10pm and 11pm, and it decides how many hours of DJ you should actually be paying for.
